Basic registration QR codes
Set up, style, test, and share your QR codes to streamline user registration.

π‘ Before you begin
Your organisation must have registration enabled for a QR code or URL to work.
You can prevent users without the QR code or URL from registering. To do this, go to Settings > Organisation Settings and set your organisation to hidden.
π¨ Set up QR code styling
This only needs to be done once:
- Go to Resources > QR Codes > QR Styling
- Set up the look and feel of your QR codes

β Create your first QR code
- Go to Resources > QR Codes > QR Codes (Hivepass)
- Click New QR code
- Select Registration as the type
- Enter a name and description for the QR code (these can be changed later)
- Click the Social Preview tab
- β οΈ The image and text here cannot be changed after the QR code is published
- If you want to change the image, do so via the QR Code Style image before publishing (and remember to change it back after)
- Enter a social title and description. This content will appear:
When the link is shared in a social app
On the iOS App Store preview page (if the app isn't installed)
- Click Publish and Save
- You'll now see your new QR code listed on the QR Codes page
β Test your new QR code
Always test your new QR code before sharing:
- Log out of the Hivepass mobile app
- Open the QR code list page and note the counter for your QR code
- Use your mobile device camera to scan the QR code from the Admin app > QR Code tab
- Register a test user
- Go back to the QR code list page and check that the counter on the list page has increased
- Find the test user in the admin app, review their details, and delete the user
π£ Sharing your QR code
Physical locations
- Find the QR you'd like the share in the QR code list page
- Go to the QR Code tab for your published QR code
- Download either:
- QR code only - This is just the QR code. You can place this into your own custom design, flyer, or poster.
- QR code with Call To Action (CTA) - Includes a pre-designed layout with title, subtitle, and editable call-to-action text. You can adjust the text and sizes using the tools on the left side of the screen.
Tips for printing:
- Outdoor use: Use durable materials like bumper stickers or waterproof signage
- Indoor use: Print on paper and pin to a noticeboard
Possible locations:
- Trail hubs, community centres, cafes, local shops
- Stickers on membersβ cars
- Target specific audiences (e.g. youth) with tailored QR codes
Website
- Add the QR code image to your website
- Also include the registration URL (link) for mobile users (easier to tap than scan from a browser)
- Send the QR code in an email to contacts
- Always include the QR code's URL so users can simply click if scanning is difficult on screen
