Importing existing members

If you have existing members that have already paid for membership, you can allow them to register on Hivepass for free using promo codes.

As the member needs to set up their login details and provide data that may not be in the existing data, they would likely need to update their account anyway. 

Step 1

Go to Settings -> Application Settings and turn on "Use Promo Codes" under Admin App. Click Save.

Step 2

Go to Settings -> Organisation Settings and make sure "Allow Promo Code Entry for Member" is on. This is on by default.

Step 3

Go to Settings -> Promo/Code Settings and create a promo code. 

Members will now be able to enter this promo code to request a free membership instead of making a payment during registration.

You can optionally enter a membership expiry date which will automatically expire any members that use the promo code. 

The promo code expiry date disables the promo code so it can't be used after this date. (for example, if you want to run a promotion for two weeks only)

Step 4

Copy and use these email and social media templates and alter as needed to communicate to your users how to register using the promo code.

Step 5

When members register with a promo code they will appear under "Membership Requests" on the left menu. Here you can approve or reject them.If you approve their request, their details will automatically move to the 'Members' list.

Members will not become active until you approve them and will see a red screen telling them they are waiting to be activated.
