Importing existing members
Already have members who've paid? You can let them register for free on Hivepass using a promo code.
There's also an option to import your existing members using a CSV file — a great choice if you want to upload a whole list at once.

Read below for the promo code method.
Step 1: Enable promo codes in Application Settings
- Go to Settings > Application Settings
- Under Admin App, turn on Use Promo Codes
- Click Save
Step 2: Allow promo code entry for members
- Go to Settings > Organisation Settings
- Make sure Allow Promo Code Entry for Member is turned on (this is on by default)
Step 3: Create a promo code
- Go to Settings > Promo/Code Settings
- Click the Create Promo Code button and fill in the details
Members will now be able to enter this promo code to request a free membership instead of making a payment during registration.
You can set an expiry date for the promo code. This prevents it from being used after that date.
You can also set a membership expiry date, which defines how long access lasts for anyone who registers using the code.
Step 4: Share the promo code with your members
Let your members know how to register using the promo code. You can use and adapt these templates:
Step 5: Review and approve new registrations
- When a member registers using a promo code, they will appear under Membership Requests
- Approve or reject them from this list
- Once approved, they will move to the Members list and become active
Until approved, members will see a red screen that says they are waiting to be activated
