Combining memberships into a family

A user may wish to combine their individual membership with an existing family membership, or change their own individual membership into a new family membership. This can also be done manually in the Admin console.

✅ Scenario 1a: Combine an individual member account with an existing family account

This can be done in the Hivepass app by following these steps.

  1. Wait until the individual membership has expired
  2. As the Primary family account, log in to the Hivepass App
  3. Click on the family icon on the digital membership card > Edit My Family
  4. Increase Family Size if necessary to create an empty slot
  5. Add Family Members > enter the individuals email address. Hivepass will recognise the email and check the status of that member. *
  6. Save and Finish
  7. The new individual is now part of your family. An invite has been sent to them with instructions on how to log in on their own device using the family code and join the family.

✋ * ONLY an expired member can be added at this step.

➕ Scenario 1b: If the family membership has also expired

The process is very similar to Scenario 1a above:  

  1. Log in to Hivepass
  2. Click 'Register Now' or similar - black button on red inactive screen (this will go straight to the family details /payment screen)
  3. Select 'Add a Family Member'. Add the individual members email address to add their account to the family. *
  4. Save and Finish
  5. Proceed to payment as normal
  6. The new individual is now part of your family. An invite has been sent to them with instructions on how to log in on their own device using the family code and join the family.

👨‍👩‍👦‍👦 Scenario 2: Change an individual membership into a family membership under the same email address

This can be done in the Hivepass app by following these steps.

❗️ This process applies ONLY to an expired member.

  1. Wait until the individual membership has expired
  2. Log in to Hivepass and click 'Register Now' or similar - black button on red screen
  3. Agree to waiver (if applicable)
  4. At the top of the address details screen, click 'Change'
  5. Select a family membership
  6. Add family members (family members with emails must not have a current active membership to be able to be added)
  7. Save and Finish > Proceed to payment as normal.


⚙️ Changing a membership to family in Admin

It is possible to manually change a users membership type from Individual to Family in the admin console. To do this:

  1. Go to Community>Contacts
  2. Click on the member number to open their profile
  3. Look for their membership type at the right hand side of their profile.
  4. Select 'Change membership type' beneath that line
  5. Select the correct type of family membership in the pop up > OK
  6. Hivepass will calculate a pro-rata expiry date based on the price of the new membership type (see below for an example)
  7. Select Change
  8. The members profile will now have a Family tab showing the current members of the family, empty spaces and family code etc

⭐️ Pro-rata based expiry date example:

The member has $50 of unused credit remaining on their Individual Membership ($100 per year, with 6 months left).

When upgrading to a Family Membership ($200 per year), that $50 credit is applied to the new membership type — which covers 3 months of the Family Membership, so their membership will now expire in 3 months time.
