What Is AusCycling’s Stance on Hivepass?
While AusCycling has not issued an official endorsement of Hivepass, they are aware of the integration and support clubs in choosing the tools that best meet their needs. AusCycling encourages organisations to choose platforms that streamline membership management and improve the overall member experience. Hivepass is designed to do just that, providing a seamless integration with AusCycling systems to help your club operate more efficiently.
Why use Hivepass?
While AusCycling provides clubs with TidyHQ, which covers much of the functionality you may need, Hivepass offers additional tools designed specifically for MTB organisations. If TidyHQ meets your needs, there’s no requirement to switch. However, Hivepass can serve as an optional add-on, offering features tailored to enhance the member experience and streamline club operations.

What are some of the benefits of Hivepass other than memberships?
- Digital membership card: Hivepass offers a mobile app that provides members with a digital membership card to verify valid memberships.
- Sponsors and Partner Deals: Members can view sponsors and redeem partner deals like discounts at local bike shops or breweries, incentivizing membership and fostering relationships between the club and local businesses.
- Events: You can list upcoming events on Hivepass. Soon, members will be able to enter events through the Hivepass app.
- Newsfeed and push notifications: Publish social posts to the Hivepass app and send push notifications directly to users' devices for better engagement. Use push notifications to alert users about trail status changes, fire risks, or other important updates.
- Donations. Members can donate to your organisation at any time from the web or mobile app.
Does Hivepass show current AC membership details?
Yes. If you have a Hivepass account, the platform provides up-to-date AC membership details, including the type of AC membership, its status (active/paid), and the expiry date. It also contains other member information such as name, gender, DOB, address, etc. Additionally, members are linked to TidyHQ, allowing you to open their profiles in TidyHQ with a single click.
Can we create memberships outside of AC?
Yes. You can create supporter memberships in Hivepass that do not include rider insurance. This allows people to support the club without having an AC membership. If they later upgrade to an AC membership, it will overwrite the supporter membership. Members can also add a optional donation to these memberships.

Is Hivepass a good fit for our organisation?
Have a chat with us to determine if Hivepass suits your needs. Depending on your organization's operations, it may not always be the best fit, so we recommend discussing it with us first.
Are there any limitations when using the AC integration?
Yes, recurring subscriptions memberships and some other types of memberships may not be available for AC memberships.
How much does it cost?
- For AC memberships we are currently charging $0.50 USD per membership per year.

More Technical FAQ's
What happens if a member with a supporter membership pays for an AC membership?
The AC membership will overwrite the supporter membership with all the new membership details e.g. membership type and expiry date. AC memberships take precedence over supporter memberships.
Is it possible to purchase a supporter membership if you have an AC membership?
No.
Why do some of the emails have a + in them?
AC (TidyHQ) supports multiple members using the same email address and Hivepass does not we treat family memberships differently. To get around this we use email sub-addresses for secondary members on the same email.
When more than one member account comes through from AC with the same email we create the subsequent accounts in Hivepass with a sub-address unique to the member in AC. e.g.

Any emails sent to the members from Hivepass would go to the master email e.g. jonandjane@gmail.com even if they had a + in them.
Most email providers support adding a "+" symbol to the email and effectively ignore it, so all the emails go to the same mail account. e.g. emails to janedoe@gmail.com and janedoe+john@gmail.com would both go to janedoe@gmail.com
Why are the AC memberships slightly different in Hivepass?
There are dozens of different AC memberships so rather than creating all the variations we just create the following four types as the addition member types fall into these categories.

How does the Hivepass AC integration work?
In TidyHQ, enable email notifications for new and renewing members and direct these emails to Hivepass. Hivepass then processes these emails and updates the member data accordingly.
Is the integration via an API?
No, there is no API available so we keep the AC members in Hivepass up to date by processing the new and renewing member emails from TidyHQ.
