🤝 What is AusCycling's position on Hivepass?

AusCycling does not officially endorse Hivepass, but they are aware of the integration and support clubs choosing tools that meet their needs. AusCycling encourages organisations to choose platforms that streamline membership management and improve the overall member experience. Hivepass is designed to do just that, providing a seamless integration with AusCycling systems to help your club operate more efficiently.


🚴 Why use Hivepass with AusCycling?

AusCycling offers TidyHQ, which works well for many clubs. Hivepass, however, is purpose-built to support the unique needs of MTB clubs, offering tools that go beyond basic admin to create a better, more engaging member experience. If TidyHQ meets your needs, there's no pressure to change, but Hivepass can be a powerful add-on for clubs looking to lift their member engagement and streamline day-to-day operations.


🎁 Benefits beyond memberships

Hivepass offers a range of features designed to add value for members:

  • Digital membership card: Hivepass offers a mobile app that provides members with a digital membership card to verify valid memberships.

  • Sponsors and Partner Deals: Offer exclusive discounts at local bike shops, breweries, and other community businesses. It's a great way to give members added value while supporting local partners who back your club.

  • Events: List upcoming events on right in the app. Coming soon: app-based event registration for even easier sign-ups.

  • Newsfeed and push notifications: Keep members informed with real-time updates, from trail closures to event announcements.

  • Donations: Let members contribute anytime via the app or website, whether it’s a one-off gift, ongoing support, or even towards a specific project or trail initiative your club is running.


📋 Does Hivepass show current AusCycling membership details?

Yes! Once your club is set up on Hivepass, you’ll be able to see real-time AusCycling member info, including:

  • AusCycling membership type
  • Membership status (e.g. active/paid)
  • Expiry date
  • Member details like name, date of birth, gender, and address, etc.

This data is pulled into Hivepass when a member first registers or renews via AusCycling. It's a one-time sync. Any updates made in TidyHQ after that won’t flow through to Hivepass, and Hivepass does not send data back to TidyHQ.

Each synced Hivepass member is linked to their TidyHQ profile, making it easy to view their full details with a single click.


💡Non-AusCycling memberships: Creating local supporter options

Hivepass allows you to create local supporter memberships that do not include AusCycling rider insurance. Perfect for:

  • Volunteers
  • Donors
  • Community supporters

If a supporter later upgrades to an AusCycling membership, Hivepass will automatically replace their supporter membership with the new AusCycling membership details. Only one membership type is active at a time. Members can also add an optional donation when signing up for a supporter membership.

Note: A member cannot hold both a local supporter and AusCycling memberships at the same time.

🚫 Limitations

  • Recurring subscriptions are not currently supported for AusCycling-linked memberships.
  • Only key membership types are synced: Race, Non-Riding, Lifestyle, Kids, and 4-Week Free Trial.

🛠️ More Technical FAQs

Q: What happens if a member with a supporter membership pays for an AC membership?

A: The AusCycling membership will overwrite the supporter membership with all the new membership details e.g. membership type and expiry date. AusCycling memberships take precedence over supporter memberships.

Q: Is it possible to purchase a supporter membership if you have an AC membership?

A: No.

Q: Why do some of the emails have a + in them?

A: AusCycling (TidyHQ) supports multiple members using the same email address and Hivepass doesn't. To accomdate this we use email sub-addresses for secondary members on the same email. All emails still go to the same inbox.

When more than one member account comes through from AusCycling with the same email we create the subsequent accounts in Hivepass with a sub-address unique to the member in AusCycling.

Any emails sent to the members from Hivepass would go to the master email e.g. jonandjane@gmail.com even if they had a + in them.

Most email providers support adding a "+" symbol to the email and effectively ignore it, so all the emails go to the same mail account. e.g. emails to janedoe@gmail.com and janedoe+john@gmail.com would both go to janedoe@gmail.com

Q: Why do AusCycling memberships look simplified in Hivepass?

A: There are dozens of different AusCycling memberships so rather than creating all the variations we just create the following four types as the addition member types fall into these categories.

  1. AC Race Membership
  2. AC Non-Riding Membership
  3. AC Lifestyle Membership
  4. AC Kids Membership
  5. AC 4 Week Free Trial

Q: How does the Hivepass AusCycling integration work?

A: In TidyHQ, enable email notifications for new and renewing members and direct these emails to Hivepass. Hivepass then processes these emails and updates the member data accordingly.

Q: Is the integration via an API?

A: No, there is no API available so we keep the AusCycling members in Hivepass up to date by processing the new and renewing member emails from TidyHQ.
