How to Integrate AusCycling and TidyHQ
This is a guide on how to set up a Hivepass account for Australian clubs that are using AusCycling for memberships.
Step 1: Create a Hivepass account
Go to https://admin.hivepass.app/register and create a Hivepass organisation account.
Step 2: Complete the account checklist
- Complete the account setup checklist as normal but with the differences below.
- Do not create any membership types.
- Do not connect a Stripe account unless you want supporter memberships, donations or events in Hivepass.
- If you want to run supporter memberships through Hivepass outside of AC then connect a Stripe account. See "Can we create memberships outside of AC?" in this article for more information.
Step 3: Export member CSV file from TidyHQ
This will give Hivepass all of your current members details so they can be imported into Hivepass.
- Log in to TidyHQ.
- Click on "Contacts" on the side menu.
- Click on "Filter".
- Select "Active" in the Status dropdown.
- Click the "Filter Contacts" button.
- Click the Displayed fields button and set the fields like the image below. Take a screenshot first if you want to change them back to the way they were afterwards.
- Select Actions -> Export All
- Change the Displayed fields back to how they were before if you have a preference.
- When you receive the CSV file via email forward this email with the attachment to support@hivepass.app.
Step 4: Set TidyHQ member emails to go to Hivepass
This step will send all new and renewing member emails to Hivepass which we will use to add/update these members in Hivepass.
Create a Hivepass admin
- Log in to TidyHQ
- Go to Side Menu -> Admins & Roles
- Click the "+ Invite Admin" button.
- Enter the email importac@hivepass.app
- Tick "Contacts" and "Communicate".
- Click the "Invite" button and add the new admin.
- Wait until Hivepass lets you know they have confirmed the admin request on their end.
Create a Hivepass role and send member notifications to this role
- Go to Side Menu -> Admins & Roles
- Click on the "Roles" tab.
- Add a role called "Hivepass" and add the admin user Hivepass to this role. The Hivepass admin user should come up if you start typing in the "Admin" text box.
- Go to Side Menu -> Organisation Settings -> Association settings -> Notifications
- Select importac@hivepass.app (Hivepass) in the "Select roles" dropdown.
- You should see an "Updated successfully" message and Hiveass should appear below the dropdown.
Step 5: Hivepass configures the account
- Email support@hivepass.app and let them know you have completed all the integration steps above.
- Hivepass will configure the final steps of the integration and let you know once complete.
- Almost done! 😅
Step 6: Get your committee members to log in as a member
- Contact support@hivepass.app with the committee members emails and they can give you the passwords for their member accounts.
- Send your committee members an email with their login details and instructions to download the Hivepass app from the app store and login.
Step 7: Let your members know
- Send an email to all your current members letting them know that you have partnered with Hivepass to provide them with more benefits. Let them know they will shortly be receiving an email with their login details from Hivepass.
- If you have supporter memberships set up then send an email to all your contacts that are not current members letting them know and they they can contribute to the club by getting an uninsured supporter membership.
- Let Hivepass know at support@hivepass.app when you would like them to send the member welcome emails with account login details.
- Make sure that you have registration open for your organisation under Settings -> Organisation Settings
Step 8: Hivepass sends out welcome emails
- Hivepass will send out welcome emails to all members with their login details.
