User status in admin app
User Status Icons
At the top of the Members Page, the User Status icons shown at the top left show all of the different types of users your organisation currently has.
NOTE: If your organisation doesn’t have any ‘Expired - Short Term Visitors’ (for example), the icon will not appear in this row.
The numbers under the icons show the total number of users with that status. Your Active Member count will always appear in green.
Hover over any icon in this row for a description of that User Status.
Most common types of User Status:
- Active - This user is an active member! 🙌
- Inactive new user - account created. This new user has just created an account and not yet entered their personal details and proceeded to the payment screen.
- Inactive new user - personal data added. This new user has entered all details and proceeded to the payment screen but has not yet paid.
- Inactive new user - advance activation. This user has paid for a membership/pass for a date in the future and this will be activated automatically.
- Inactive new user - prospect. This user has never completed the registration and paid to become a member despite reminder messages. We use the term ‘Prospect” to describe this user status
- Expired - reminders started. This users membership has expired. The automated messaging configured by your organisation has started and will encourage the user to renew their membership
- Expired - short term visitor. This user has paid for one or more short term passes in the past.
To filter User types
Click on the status icons at the top to select. You can click more than one to include several different user types at once.
User Status types now included in the filter will be coloured.
To remove filter
Click again on the icons a second time to deselect and they will turn grey, removing that status from the filter. Or to remove the filter completely, click the red remove filter icon at the right end of the icons row.
Slightly less common User Types:
- Inactive new user - has requested membership. This user has requested activation of their membership by using a promo code
- Inactive new user - reminders started. The automated messaging configured by your organisation has started and will encourage this user to complete their registration
- Inactive new user - cold prospect. This user has never completed the registration and paid to become a member. Despite repeated reminder messages in the last 6 months they have not become a member. We use the term “Cold Prospect” to describe this user status
- Follower. This user is interested in getting updates and has chosen to follow your organisation but not become a member at this stage. This user will receive updates but not automated emails encouraging them to join.
- Contact. This user has been set as a contact by an admin of your organisation. This user will receive updates but not automated emails encouraging them to join. We use the term ‘Contact’ to describe this user status.
- Expired - Ghost. This user has been an active member in the past but has not responded to any of the automated renewal reminders. You have been ghosted.
- Deactivated manually. This user has been an active member in the past, but has been deactivated by an admin user.
User Status Lifecycle
Every user of your organisation has a lifecycle. You can view the steps that they take on their journey of being a member of your organisation with either option below:
Quick view of the user lifecycle / current status
In the members list page, click on the icon next to their name and you will see the stage of their lifecycle, description of their status and automated messages that have been sent to the user. You can also set a user to a follower or a contact here.
In the individual member details page
Click on a user Code to open their individual details.
Click the Status Tab to see the users lifecycle. The stage that they are at will be coloured and pulsing with a green halo. The next ideal step in the lifecycle will be shown here.
To view the messages that have been sent to the user as part of the automated message sequence, click the small envelope icon in the middle of the pane. Listed here will be the date sent, and content of the message.
NOTE: As an admin, you are able to perform the following actions that affect a Users Status:
- Set a user as a Follower or a Contact (and unset)
- Deactivate a user
- Activate a user when they have requested a membership
